Administrative Assistant
Position Summary
We are looking for a perfectly bilingual administrative assistant, to support our team with many diverse administrative tasks, such as tending to the front desk, billing, drafting and preparing proposals, and offering a support for business development. Here are the principle responsibilities :
- Execute administrative tasks such as billing, payment tracking (payables and receivables), purchases, mail, alarm, etc.
- Support the team with writing, checking and editing a diverse range of documents, such as quotes, presentations and reports.
- Tend to the front desk, and manage phone calls, emails and general business correspondence.
- Assist the business development team with researching, preparing and sending personalized service offers that meet the specific needs of the clients.
- Develop, maintain and update the document management, filing and database systems (projects, clients, contacts, etc.)
- Assist in project coordination by communicating with clients, partners and suppliers.
- Support meetings, events and travel planning.
QUALIFICATIONS & REQUIREMENTS
- Office technology skills or all training relevant to the job.
- Strong computer skills, especially Microsoft Office (Word, Excel, PowerPoint), Indesign and Nutcache, and in database management.
- Fluent in French and English, both spoken and written (mandatory).
- Autonomy and organization skills.
- Detail oriented and committed to producing high quality work.
- Excellent organizational, communication and problem solving skills.
- Ability to work efficiently as a team and able to manage multiple tasks simultaneously.
- Interest in the field of design or architecture, an asset.
- Minimum of three years of experience in a similar job.
We are looking to fill a full time position. This is an in-person job, at the office.
